Onsite Check-In and Badge Printing in Singapore for Luma and Eventbrite Events

Tech conferences and summits in Singapore — crypto events, blockchain conferences, fintech summits and developer meetups — increasingly run registration on Luma or Eventbrite. Both handle the online sign-up. Neither delivers onsite check-in and instant badge printing.

That gap shows up on event morning, when a few hundred people arrive inside the same short window and every one of them needs a badge in hand in seconds.

EventNook fills it. You keep Luma or Eventbrite for registration and ticketing; we deliver the onsite half — kiosk check-in, instant badge printing, walk-in registration and all the equipment, run by a professional onsite team.

It is a comprehensive onsite service built over years of conferences in Singapore and across APAC, on premium-quality badge material that looks like your brand rather than an afterthought.

Why Online Registration Stops at the Door

An online registration platform's job ends with a confirmation email. Everything after that is a different discipline, with its own equipment, staffing and failure modes:

Online registration handlesOnsite still needs
Ticket sales and RSVPsBadge printing on demand, per attendee
Confirmation emails with a QR codeScanners, kiosks, printers, power and network on site
An attendee listWalk-in and on-the-spot registration
Refunds and transfersName changes, substitutions and instant reprints
A dashboardTrained floor staff and someone accountable when a printer jams

Most organisers discover this late — usually when a badge supplier quotes for pre-printed badges and asks for a final name list three weeks before an event whose audience will keep registering until the morning of day one.

Pre-printing does not survive contact with a tech conference. Sponsor delegations change, speakers get added, teams swap seats, and the alphabetised badge table becomes a queue of its own. On-demand printing is the only workflow that matches how these audiences actually register.

How Attendee Data Moves From Luma or Eventbrite to EventNook

This is the part organisers ask about first, so here it is plainly. You do not migrate your event. Registration stays exactly where it is — attendees keep booking on Luma or Eventbrite, and keep the confirmation email they already received. EventNook runs alongside it as your onsite platform.

1. Attendee data transfer

Luma and Eventbrite both export the guest list. We import it into EventNook through bulk attendee upload, and our team handles the field mapping — name, company, job title, ticket type, dietary or session data, and any custom questions you asked at registration. Anything you collected can be carried across and, if you want it, printed on the badge.

2. Keeping the QR code your attendees already have

You do not have to reissue tickets. EventNook can be configured to accept the barcode or ticket ID issued by your existing platform, so the QR code already sitting in an attendee's inbox or wallet scans correctly at our kiosks. For attendees who lost the email, name search at the kiosk gets them through just as fast.

3. Re-syncs right up to doors open

Registrations that come in after the first import are handled by a refreshed upload — typically the evening before, and again on the morning of the event. For multi-day conferences we repeat it nightly so day two opens with a current list.

4. Optional reminder email with a QR ticket

If you would rather everyone arrive holding the same QR code, EventNook can send a personalised reminder email with a ticket attached once the list is uploaded. Some organisers use it as a pre-event nudge; others skip it entirely and rely on the original Luma or Eventbrite confirmation.

5. Walk-ins, on the spot

Anyone not on the list registers at an onsite counter and walks away with a printed badge in the same interaction. For community-driven events where a meaningful share of the room decides to attend that morning, this is usually the single biggest queue saver.

The same approach works if your registration sits on Cvent, Aventri, an internal system or even a Google Form. We have been supporting events hosted on third-party registration platforms for years — see also our note on being an alternative to Cvent OnArrival in Singapore and APAC.

Onsite Check-In That Matches Your Crowd

Tech audiences are comfortable with self-service and impatient with queues, which makes them an ideal fit for kiosk check-in. But the right mode depends on the moment:

  • Self-service kiosk — attendee scans their QR code or searches their name, badge prints, done. Best for large conference mornings and for audiences that would rather not talk to anyone before coffee.
  • Staff-assisted counters — a team member drives the scan and hands over the badge. Best for VIP and speaker lanes, sponsor delegations, and anywhere a personal greeting is part of the experience.
  • Mixed floor — the setup we recommend most often for conferences above a few hundred people: a bank of kiosks for the general queue, staffed counters for VIPs, speakers and exhibitors, and a dedicated walk-in desk so new registrations never block the main flow.

We wrote about choosing between them in more detail in self-service or staff-assisted check-in.

Why a Singapore-Based Onsite Partner Matters

Plenty of software can print a badge. What is harder to source, three days before a conference, is a team that is already on the island with the equipment in a van.

EventNook is a Singapore-based event registration and onsite technology company, and for organisers running an event here the practical differences are these:

  • Equipment is local. Kiosks, badge printers, scanners and stands are held in Singapore and delivered to your venue. Nothing is shipped in, so there is no customs risk, no freight timeline and no scramble when your numbers grow two weeks out.
  • Setup happens the day before. Our team builds and tests the registration area during your bump-in, not on the morning while attendees queue.
  • Venue-ready. Whether your event is at Suntec, Marina Bay Sands, Sands Expo, Raffles City, a hotel ballroom or a smaller CBD space, we plan around the venue's power, network and floor plan in advance — the details that decide whether a check-in area actually flows.
  • Someone is standing there. Support is a person at your registration desk through setup, doors open and peak — not a ticket queue in a different time zone.
  • Local vendor, local terms. A Singapore company for procurement, invoicing and contracting, which is usually the shortest path through a corporate or agency approval process.
  • Regional reach. We travel across APAC regularly — Indonesia, Malaysia, Thailand, Japan and beyond — so a Singapore flagship and its regional editions can run on the same setup.

This is the same service global teams use when their registration platform is headquartered elsewhere: they keep the platform, and hand the door to a local partner. Marketing managers running a Luma event in Singapore are in exactly that position — the difference is only which logo is on the confirmation email.

The Badge Is the First Piece of Brand Anyone Touches

A badge is worn for the entire event, photographed, posted, and carried to the side events and after-parties. For a conference that has spent months on brand — and tech and crypto events spend a lot on brand — the badge is the one piece of it every single attendee physically holds.

It is also the piece most likely to be undersold. A thin paper insert in a plastic pouch reads as a formality. A heavy, well-printed badge reads as a serious event before a single session starts.

Large PVC card badges — the attendee's details go on at the kiosk, printed onto a transparent label.

Two formats come up again and again with tech, fintech and crypto organisers.

Large PVC card badges

The premium option, and a favourite of crypto conferences in particular. A large PVC card has real weight and a hard, card-like finish — closer to an access credential than a name tag. Full-colour event artwork is produced onto the card in advance, so your design gets the whole surface rather than a small printed strip.

The obvious question is how a pre-produced card can carry a name that was not known until the attendee walked in. The answer is an instant transparent sticker: at the kiosk we print the attendee's name, company and QR code onto a clear label and apply it to the card on the spot. The label disappears into the artwork, and the workflow stays fully on demand — no pre-printed name stacks, no alphabetised table, no problem with walk-ins.

Here is the workflow running end to end:

PVC cards are also the natural pick for credentials that need to last: multi-day passes, speaker and VIP badges, crew and production access. More on the material on our PVC card badge page.

Premium tear-proof badges

The workhorse for conferences and exhibitions, and what most of our tech events run for general delegates. Printed on heavyweight tear-proof stock, it is water-resistant, survives a three-day conference and the parties in between, and prints beautifully on demand at full colour.

The folded 4 × 12 inch format is worth knowing about if you sell sponsorship or run an expo floor. It gives you two printed sides: attendee name and check-in QR on the front, and on the back a second QR for exhibitor lead retrieval, your networking app, an agenda, or sponsor branding that every attendee carries around the venue all day.

At Scale: Solana Breakpoint

Breakpoint is one of the largest gatherings in the Solana ecosystem, and the kind of event where every assumption about check-in gets tested at once — a global audience, heavy day-one arrival, and an attendee base with high expectations of anything calling itself technology.

EventNook ran onsite check-in and badge printing on our platform. Here is what that looked like on the floor:

Crypto events have pushed us in other directions too — we added crypto payment support through Helio so organisers could accept USDC, SOL, BTC and ETH for ticket sales. Beyond Web3, the same onsite platform has run the door for gamescom asia, KPMG, ServiceNow, Microsoft, Figma and Google's regional summits.

What the Onsite Service Includes

Software is the easy part. Most of what goes wrong onsite is physical, so the service is built around that:

  • Equipment rental — check-in kiosks, badge printers, scanners and stands, delivered and set up. You are not buying hardware for one conference.
  • Badge production — artwork and template design with your brand team, materials sourced, stock prepared ahead of the event.
  • Onsite technical support — our team on the floor through setup, doors open and peak, with spare units and consumables on hand.
  • Staff training — a short, practical briefing for your temp registration crew so the people at the counters know the system before the first attendee arrives.
  • Regional coverage — Singapore-based, travelling across APAC including Indonesia, Malaysia, Thailand and Japan.

A Simple Timeline

WhenWhat happens
6–8 weeks outScope the door: expected numbers, arrival pattern, attendee categories, floor plan
4 weeks outBadge format and material chosen; artwork and template locked
2–3 weeks outBadge stock produced; first Luma or Eventbrite export imported and field mapping tested
1 week outFull data rehearsal — QR codes scanned, sample badges printed and approved
Day beforeEquipment setup, final data re-sync, staff briefing
Event dayDoors open; our team on the floor. Nightly re-sync for multi-day events

The step organisers most often skip is the data rehearsal a week out. It is also the cheapest place to find a problem — an unmapped field or a QR format mismatch takes minutes to fix in advance and is genuinely painful to discover with a queue forming.

Shorter runways are workable. We have set events up in under two weeks when badge stock allows, so it is always worth asking rather than assuming you have missed the window.

Frequently Asked Questions

Does EventNook work with events registered on Luma?

Yes. Luma handles your registration and ticketing; EventNook handles onsite check-in and badge printing. We transfer the attendee list from Luma into EventNook and run the door from there, so nothing about your registration page or attendee journey has to change.

Do I have to move my event off Luma or Eventbrite?

No. This is an onsite-only engagement. Attendees keep registering where they already are, and you keep the reporting, payments and communications you have set up. EventNook is added alongside as the onsite layer.

Will the QR code in my attendees' Luma or Eventbrite confirmation email still work?

It can. EventNook can be configured to accept the barcode or ticket ID issued by your existing platform, so tickets already sitting in inboxes scan at our kiosks. If you would rather issue a fresh QR code, we can send a reminder email with an EventNook ticket attached instead. Attendees who have neither can still check in by name search.

Can you print badges for walk-in registrations on the day?

Yes, and for most tech and community events in Singapore this matters more than organisers expect. Walk-ins register at an onsite counter and receive a printed badge in the same interaction — no separate queue, no handwritten name tag.

Do you rent out check-in kiosks and badge printers in Singapore?

Yes. Equipment rental is part of the onsite package — kiosks, badge printers, scanners and stands, delivered, set up and supported by our team. We also support organisers who own their own equipment and only need the software and onsite expertise.

How much notice do you need before an event?

Six to eight weeks is comfortable and gives you room for custom badge artwork and a proper data rehearsal. Shorter timelines are often workable depending on badge material and stock, so ask.

Do you only support events in Singapore?

Singapore is our base and where most of our work happens, but our team travels across APAC regularly, including Indonesia, Malaysia, Thailand and Japan.

What badge materials can you print onsite?

Premium tear-proof badges (single or double-sided), large PVC cards with instant transparent sticker printing, satin fabric badges for gala dinners and awards nights, and simple paper name stickers for internal or casual events. Physical samples are available if you want to compare before deciding.

Keep Luma. Keep Eventbrite. Fix the Door.

If your community is already registering on Luma or Eventbrite, you do not have to disrupt that mid-campaign to fix the door. Those platforms take the sign-up; the onsite experience is a separate job.

It is also the job your attendees actually see. Putting a premium badge in someone's hand in a few seconds, at the moment your event makes its first impression, is what we do — and for tech, fintech and crypto conferences in Singapore, it is usually the difference between a lobby that feels like an airport queue and one that feels like the event you have been promising for months.

And when you are ready to bring registration, ticketing and onsite onto a single platform, EventNook does both halves. That does not have to be this event.

If you have an event coming up, we are happy to talk through your setup and send physical badge samples so you can feel the difference between materials before deciding.
