We will be sharing the simple 15 tips (check-list) that we find it super useful for ourselves to run a virtual event like a PRO.

  1. Pre-Registration
  2. Share the video conference link with a Reminder Email
  3. Send Reminder Email — min. 2 times
  4. Virtual Background
  5. Dress up nicely
  6. Presentation Kit
  7. A Trial Run
  8. Starts at least 15 mins before the event
  9. Background Music for early birds — Spotify
  10. Having a host (if you can)
  11. Heads-up and Agenda
  12. Request audience to switch on Camera for more interactive
  13. Poll
  14. Consolidate Q&A
  15. Thank you email

1. Pre-Registration

Not every virtual event will need a registration if it’s a casual event with friends and families. However, if you would like to engage with your audience effectively till the event day, registration is a must. With having a pre-registration, you will benefit the following:

  1. You have contacts for communication and business metrics
  2. You know how many are interested in attending based on the RSVP list. Even though the virtual events may not have a big hassle with audience size, knowing the signup rate will help you many ways to gauge the interest and prepare for the event day accordingly.
  3. Know your audience — You can ask some questions in the form such as their job title, company, etc. so that the presenter knows the audience to prepare for effective presentation.
  4. In the virtual business events, the turn-out rate sometimes can below if you don’t send out the reminder email 1 hour before the event time since they don’t need to dedicate their time to make an effort to travel to a venue like going to a physical event. The people can overlook their calendars when they have a distraction from other Ops activities.
  5. You got contacts to send out your presentation slides after the event and post-event follow-up activities.

The next question is, how do I create a pre-registration process?

Here at EventNook, we are enablers for our business professionals and marketers with event technologies. While EventNook caters to the comprehensive registration solutions for conferences and the MICE industry, we recently launched a new product — UserRoll ( https://www.userroll.com) to enable the small regular series of online virtual events, webinars, courses, etc. from our business communities.

UserRoll makes your event registration hassle-free and rolls smoothly! It allows the event organizers to launch an event registration site in minutes. With UserRoll, you can create an engaging event site and automate your event registration process seamlessly and efficiently.

2. Share the video conference link in Reminder Email

Most people have trouble finding video conference details to join when they are about to join a Most people have trouble finding video conference details to join when they are about to enter a webinar. By communicating the necessary video conference details such as link, passcode, conference dial number, etc. in the reminder email will help to avoid any last-minute hiccup from the audience, and that will increase the turn-out rate.

3. Send Reminder Email (at least 2 times)

Example of a reminder email
Example of Event Reminder Email

As mentioned above, the reminder email will be handy to send out event details. Our recommendation is to send out reminder emails at least two times. The first reminder email should go out a day before the event day, and the second reminder email should go out an hour before the event time.

The first reminder email is to give the audience heads-up about the event coming tomorrow so they can make an effort to bookmark the schedule properly if they are keen to attend.

The second reminder email is to give the audience immediate attention that the event is starting soon and be ready!

If you are using our UserRoll platform, you can do it in a few clicks and find out more here.

4. Virtual Background

If you are doing a small virtual event and a bit more casual, so we don’t need to present it from a beautiful venue or office, yet you may want to make it look professional and pleasant experience.

Presenting from a nice conference room background

To make our presentation have positive energy over a video conference, the background of the host, or presenter matters. And also, the audience will be people you don’t know, and they could be your potential customers. We don’t want to show our bedroom while we are presenting to invite undesirable negative experiences.

Some presenters also use a poster image of the webinar or a brand background that represent their service or product.

While there are many websites where you can find a proper image, we strongly recommend the following two sites.

  1. Unsplash — Free copy-right yet quality images https://unsplash.com
  2. Canva — To create a custom background or poster https://canva.com.

We have also written about an article on creative images resource — here.

5. Dress Up Nicely

It might not sound like a big deal to dress up since it’s a virtual event. However, for a business event, it’s always good to maintain a professional image like going to physical business events. It creates a great vibe of business energies from a presenter to the audience.

6. Presentation Kit

CrCreate a shared folder (presentation kit) to place all the presentation slides, documents, virtual background images, etc. that are necessary for the event team. So your team can just go to one single shared folder to easily access all the up to date documents during the event.

7. A Trial Run

Test, Test, Test!

If you are not familiar with a video conference tool that you are using, it’s best to have a rehearsal session to test out the flow and get yourself and the presenter to get familiar with the buttons and menu of the tool.

  • Agenda ready
  • Know how to share the screen or slide
  • Test audio quality (microphone)

8. Start min. 15 mins before the event time

As an event host, start early to be in the video conference (Zoom or whatever tools you use) — at least 15 minutes before the event time not to end up with “Can you hear me?” technical hiccups when the audience comes. Be yourself ready with AV (audio/video), beautiful virtual background, and pleasant background music that are working together smoothly.

9. Background Music for Early Birds

The background music always creates a great mood and experience while the attendees who come early are waiting for the event to start. And if you are also having more than one session and need to give a 10 mins break-time, the background music can be run as well to keep the audience engaged. If you are using Zoom, there is an option to share the sound from the presenter device — [ How to turn on background music in Zoom — Article].

We use Spotify, and it can quickly provide you a playlist that suits, whether it’s a background piano music or energizing pop music!

10. Having a host (if you can)

Having a warm welcoming host always provides a presenter ease and running event more Having a warm, welcoming host always provides presenter ease and running events more smoothly. Having a friendly host makes presenter ease and running events more smoothly. A presenter can focus on his presentation while a host can facilitate more interactive with sharing what’s coming next, managing the audience such as mute the voice, curating questions from the audience, etc.

11. Heads-up and Agenda

Before we straight away jump into the presentation, it’s always good to spend a minute to give the audience heads-up and share how we are going to run this session. For example, we can briefly mention the following

  1. A warm welcome and a quick introduction to ourselves and about the speaker for a nice gesture to start.
  2. Some housekeeping rule — Such as — to mute the voice of attendees, request to a turn-on video camera for a photo shooting
  3. The flow of the event (Agenda, How long it will take, etc.)
  4. Q&A session

12. Request For Camera On

Nothing is worse than talking to a black wall. Speakers and presenters need energy and simulation by interacting with the audience, even a facial expression. As a human, we must feel that the audience is following.

I attended a webinar, and the presenter was like reading a script, and no one from the audience didn’t switch on the Camera. It was a dull and sleepy session. After a while, I started browsing other websites and didn’t hear the presenter anymore, even though I was still in the webinar.

13. Poll

Quick polling in an online event is not essential, but it’s an excellent way to make the session more interactive, and it also brings back the sleepy audience into attention. You can quickly ask the audience with a quick poll on checking their opinions.

A platform like Zoom webinar offers a polling feature [Read more about Zoom Polling]

14. Q&A

Dedicate a Q&A session at the end of the event. In a virtual event, people prefer to send a Dedicate a Q&A session at the end of the event. In an online virtual event, people prefer to send a Q&A via chatbox. It’s much better to consolidate all those questions typed in the chat by a host or moderator before the Q&A starts and share them in a well-organized bullet point for the presenter to answer.

15. Thank you email

After all, it’s always a good practice to follow-up with the audience after the event. A Thank-you email is a great way to say Thank you for their time and send things such as presentation slides.

If you are using the pre-registration system like UserRoll in place, that’s very easy. You can send it to all attendees with a few clicks.

Setting Access Codes for Your Event Tickets

Have guests with VIP status? Or need to hide some tickets from the general public? We just released an update that allows you to select from 3 password protection options to only allow guests with a special password or invitation code access to certain tickets! Scroll below to learn more about which option is most suitable for your event needs!

Password Protection Options

  1. Default (No Password / No Invitation Code)If you are planning a simple, public event that requires no exclusivity in admission tickets, this option is sufficient for your event needs! This option allows guests to publicly access your ticket information and to freely register for all ticket types you offer for your event.
  2. Event Registration with a Password
For those of you who are planning to host private events, this option is tailored just to your needs! Any guest who plans on registering for the event needs to have an invitation code generated by you. When anyone tries to register for the event, they will be redirected to a page that asks for an invitation code before they can even access the ticket information page. Thus, no one will be able to see your ticket types or prices without an invitation code. This will prevent any uninvited guests or strangers who stumble upon your event page and register for misleading reasons.
  3. Event Registration with Invite Codes for Selected TicketsThis option allows you to set different invitation codes for various ticket types instead of generating one general invitation code for all guests. Thus, only a VIP can purchase a VIP ticket, only a student can purchase a student ticket, and so on. Unlike ‘Event Registration with a Password,’ this option is more suitable for hosting public events but if you plan to have different types of attendees.
The invitation code verification box will only pop up when guests select a ticket type that requires an invitation code. So anyone will have access to your ticket information page, it simply prevents anyone from registering for a ticket that they are not entitled access to.

Customize Your Event Page With Website Theme Selection

Want to add a little zest to your event page?  Now you can select from 3 stunning website themes to tailor your event page and attract more attendees!

Default

The default theme lays out all the details of your event in a comprehensive and compact design. Details of the event are displayed in a two-column layout, and visitors to the event page are able to attain most or all of the event details at a single glance. When registering for the event, visitors will be redirected to the ticket information page.

Creative

With the creative theme, your event name, date, location  and registration button are displayed within the header. This keeps your event page crisp and tidy, suitable for those of you who do not have event details in your header picture. This also encourages visitors to register for your event, since it is the first thing they see when they visit your event page! Details of the event are displayed in a one-column layout, and visitors are able to view ticket information and register for the event on the page itself.

Inspire

If you can’t decide between the default theme and creative theme, the inspire theme is a hybrid of the two! It is similar to the default theme in terms of header layout, but visitors are able to view ticket information and register for the event on the page itself, just like the creative theme. The ticket information falls right below the header in a wide one-column layout, while other event details are separated into a tidy two-column layout.

Which name badge printer should I use for my event?

Choosing the right type of printer for your event can be challenging as many factors come into determining which qualities will be the most valuable for managing your event.

Before deciding on which printer to utilize for your event, first you want to decide what kind of name badges you want to supply for your event. Do you want paper name badges? Or more durable PVC cards? Do you want to print postcard sized cards? Or smaller ID sized cards?

Look no further, because this article is written just for you!

Plastic (PVC) Cards vs. Paper Cards

  1. Nature of your event: Printing on plastic (PVC) cards produces more durable name badges that attendees can retain as a keepsake even after the event ends. This can be suitable for notable events, such as concerts, seminars, conferences or trade shows, where PVC cards also add to the excitement of the event. For corporate events such as business conferences or shareholder meetings, PVC cards result in a more professional appearance.
  2. Duration of your event: For events that last more than a day, printing on more durable PVC cards will be more beneficial to you as an event organizer and for attendees as well. This reduces the risk of damage that attendees can cause to paper name badges, such as creases or getting it wet. Thus, printing on PVC cards can help you avoid having to reprint cards. This also diminishes the necessity of having to purchase plastic badge holders to protect your name badges. You can simply punch a hole in your PVC cards, attach it to a lanyard, and you’re ready to go!

Larger-sized Name Tags vs. Smaller-sized Name Tags

  1. Visibility: For large events, printing on larger-sized cards can help security details as the card allows for easier identification from a far distance. For event organizers, printing on larger-sized cards also allows for easier identification in case attendees need to be separated into groups, and helps the event management team to recognize when an attendee is in the wrong area and needs to be re-directed to the right place. One more advantage is that you can easily market your event or brand name! The larger your company logo or event details are visible, the better.
  2. Cost-effectiveness: Smaller-sized cards can be the more economical choice for planning low-budget events. They take up less ink for printing and are also more portable. On the other hand, small ID-sized cards can also be more suitable for trendier and upscale events as smaller cards will look more sleek.

Now that you’ve decided on the type of name badge you want to print, let’s move on to selecting the right printer to meet your needs!

Types of Name Badge Printers

Brother QL-720NW Printer

This professional, high-speed label printer comes with built-in ethernet and wireless networking, perfect for printing cost-effective paper labels! It can print up to 93 labels per minute and in high resolution (300 x 600 dpi). The printer uses direct thermal printing mechanism with easy drop-in tape rolls, which means that no ink or toner is required. However, this also means that the printer can only print in black. The machine is simple to use and automatically recognizes the roll size and adjusts the label template accordingly. It also has an automatic cutter. Not to mention, it’s exceedingly portable!

Recommendations: We recommend this printer for hosting simple events. This is one of our most frequently rented printer as it is extremely portable, easy to set-up, and cost-effective. One method our clients have utilized this printer is by sticking the name badges generated by this printer onto pre-printed badges that feature the event details. This cuts down printing time, money, and reduces the attendees’ wait time immensely!

Max label dimensions: 2.4″ x 3″ | Printer dimensions: 5″ x 9.3″ x 6″

Zebra ZD500 Thermal Transfer Desktop Printer

This printer is ideal for small-label printing of text and graphics. It prints on event badges (it can print two-sided badges too!) which feature precision perforations between each badge, allowing for easy separation for speedy badge assembly. It can also print labels on wristbands. It can print up to 4″ per second in high resolution (300 dpi). The high-resolution printer is also compact, making it easily portable, manageable and maintainable from any location.

Recommendations: We recommend this printer for large-scale conferences and exhibitions since it supports fast-speed label badge printing. Labels generated by this printer can be customized for various sizes (4″x 3″, 4″x 6″, etc.) with folding and perforated as well as pre-designed sponsor logos. The printer’s flexible printing abilities also allows it to print on wristbands, which will be suitable for events such as music festivals, as well as personalized tickets.

Max print width: 4.09″ | Printer dimensions: 7.5″ x 7.6″ x 10″

Epson Color Inkjet Printer

This compact, wireless printer is perfect for printing colored name badges that can fit into A6-sized name badge holders. The printer is able to print in very high resolution (5760 x 1440 dpi) and at a high speed of 27 badges per minute! However, it’s larger dimensions make it less portable than the Brother and Zebra printers. As it is a full color printer, it also requires the understanding of replacing cartridges.

Note: When selecting your inkjet printer, make sure that it can be adjusted to print on A6-sized paper! We use the Epson Expression Home XP 245 for our events.

Recommendations: We recommend this printer for major events, such as conferences and exhibitions. It is compatible with high-quality colored printing on thick paper stock. The comprehensive printing capabilities of this printer result in more impressionable name badges that can add a special feel to events. This would be a great alternative to supplying more professional-looking name badges at a cheaper rate than PVC cards.

Label dimensions 3.4″ x 5.2″ | Printer dimensions: 15.4″ x 11.8″ x 5.7″

Evolis Primacy Card Printer

If you’re looking to print PVC cards, this printer is for you! The Primacy printer is very fast, powerful, efficient, and is adapted to printing in batches as it personalizes cards in record time: it can print 225 multi-color cards per hour and a staggering 1,000 monochrome cards per hour! It can also print double-sided. The large capacity of the feeder and hopper can each hold 100 cards, which reduces the frequency of reloading cards. Finally, the Primacy printer prints your cards in a high photographic resolution (300 x 600 dpi for color printing and 300 x 1200 dpi for monochrome printing).

Recommendations: We recommend this printer for corporate events, or small to medium-capacity special events. Because of the durable nature of PVC cards, you can simply punch a hole through it and attach it to a lanyard! Although PVC cards might be a little bit on the costly side, the VIP event experience that it offers attendees surpasses the extra cost.

Card dimensions: 3.375″ x 2.125″ | Printer dimensions: 9.72″ x 8.07″ x 14.99″

Conclusion

With many different types of printers in the market, finding the right printer to fit the needs of your event can be a challenge. Please don’t hesitate to reach out to us for consultation when planning for your event! You can also learn more about our event badge printing service here.

Do you know that EventNook’s ticket tier pricing feature allows organizers to set multiple ticket types?

EventNook Launches Self-Serve Check-in Kiosk App

To accommodate event organizers who are planning to host big events with minimal staff, EventNook has just launched a self-service Kiosk app that supports event organizers to try a more hands-off approach and allow attendees to check-in on their own.

The EventNook Kiosk Check-in Manager is a comprehensive tool that is designed to support medium to large-scale events and allows event organizers to conveniently manage onsite event registration and make sure everything runs smoothly on the event day. The app is now available for download on the app store.

Through the app, event organizers are greeted by a simple user interface where they can manage the event and guest check-ins through a real-time dashboard.

The kiosk app allows users to check-in efficiently through a QR code, which they receive upon the completion of their registration online. On the actual event day, they can simply scan their QR code to check-in for the event. For guests who have trouble finding the confirmation email, the Kiosk app also allows event organizers to check in their guests manually by searching for their name or ticket ID.

Here are some key features of EventNook’s Kiosk App:

1. Kiosk (Self Check-in) Feature

To save event organizers time and energy of having to redirect guests, the Kiosk Feature now displays a message to prompt guests on to the next course of action upon checking in.

The message displayed on the screen can be customized by the event organizer to anything they want to convey to their guests. Be it a warm WELCOME message directing them to the conference room, or a sheepish SORRY message for customers who have brought an invalid QR code.

2. Onsite Registration for Walk-in Guests

Through the Kiosk app, guests are now able to register and check-in for the event on the spot! This means that event organizers no longer have to turn away guests who have not registered for the event beforehand.

3. Easy Search

No QR code? No problem. The Kiosk app allows attendees to check-in manually for the event. This latest release also features an ENLARGED search text box to accommodate the less keen-sighted customers.

Crowdfunding: Q&A with HongSin Kwek, CEO and Founder of Phoenixict

Ever heard of Indiegogo, Kickstarter or Crowdfunder? What about the term crowdfunding?

Crowdfunding only surfaced a few years ago but it is fast becoming a go-to method for raising funds. How it works: You pitch your idea on a crowdfunding platform like one of the mentioned sites, and if people like your idea, they can contribute to your project. You can pitch almost anything – products, applications, song albums and even babies! Yes, you heard that right – babies. But that’s another story (See here: https://www.indiegogo.com/projects/help-the-haleys-have-a-baby).

While it is now well integrated in the US, the same cannot be said for Asia. However, thanks to Crowdfunding Asia, spearheaded by HongSin Kwek, the Founder of startup PhoenixICT, Asia will have its second Crowdfunding summit in November this year.

We speak to her to get to know more about the second summit, and also the debut LIVE Crowdfunding Asia Festival – BOLD 2015, an extension of the event inspired an co-organised with youths aged 18 to 24 years young from various Institutes of Higher Learning (IHLs) in Singapore.

Q1: What is Crowdfunding Asia about?

KHS: It is a platform to network and collaborate with others as well as to showcase your ideas and products. At the summit, attendees will have opportunities to mingle, discuss and pitch projects that may help them gain insights to current concepts and find investors who are interested in backing their models. It is also an avenue for us to provide alternatives to fill in the gaps that the traditional approach leaves. An example of such a gap is how the funding available to technopreneurs is common but not to mumpreneurs, hawkerpreneurs, hydropreneurs, and more.

KHS: The Crowdfunding Asia Summit is a full day conference focused on interaction with international experts and practitioners in the crowdfunding scene. Regulators, government, investors, bankers, media, startups, entrepreneurs of all walks of industry will be there. The extension of the summit is the Crowdfunding Asia festival BOLD 2015, which spans 3.5-days and will provide the platform to challenge all startups, entrepreneurs who are brave enough to show their business in the open field and to call for LIVE CROWDFUNDING. Whether it is media, tech, water, investors, bankers, research, health, welfare or socio-enterprises – as long as they are out to demonstrate their potential. We are expecting few thousands of visitors flocking in with comfortable attires (since it is outdoors) to exchange ideas, hear pitches and learn from each other to better their business models and more. It is a marketplace to be and YOU WANT TO BE IN IT TO MAKE HISTORY!

Q3: How is it beneficial?

KHS:

It is beneficial when you start giving yourself a chance to be a part of it.

It is beneficial when you participate.

It is beneficial when you help some and someone in turn support you in many other ways.

IT IS A CROWD CONVERSATION…

Create your very own Organizer’s Profile on EventNook!

eventnook organiser profile pageHow do you reach out to your previous event-goers for your current events? There are people who go for, maybe one or two of your events but do not particularly follow or keep track of upcoming ones. Besides Facebook and other social media platforms, what is another way to keep people informed?

Rejoice, for EventNook’s new feature, the Organizer’s Profile is the one-stop avenue for all your events! Now your attendees have access to everything under a single page. While social media platforms work well, ours is designed exclusively to showcase all the events you have organised in a listed calendar format.

Page viewers can toggle between past and upcoming events to check out what you have organized in the past and also in the near future. The list requires no extra effort – it is automatically shown according to the “My Events” page you see in your own account. You can spare yourself the hassle of listing everything and let EventNook do it for you.

eventnook organiser profile pageBesides that, you can input general information of you or your organization, such as name, logo, tagline, description and website. The information display is great for increasing brand awareness or brand recognition as well. With this, attendees can clearly see who the organizer is.

Add a banner image to create a page with your own look and feel. Perhaps something colourful for a vibrant and dynamic company? Or a picture with blue and grey hues to denote professionalism and productivity? You choose.

Our widget also allows you to present both your events and Facebook page simultaneously, which could serve as an additional platform to lead your attendees to your social media page. Who says you can’t have the best of both worlds?

The most wonderful thing about the new Organizer’s Profile, though, is that creating it is so simple. EventNook has made the process of creating a profile page easy by putting everything together in a single form. Try it out for yourself by following this guide:

1. Look for the Organizer’s Profile page.
